2. Scope of this policy

This Privacy Policy explains how we collect, use, store and protect personal information when you use our website, contact us, create an account, purchase an MPS software licence or WOM Engineering Tools access, receive support or otherwise interact with us.

3. Information we collect

Depending on how you use the site, we may collect your name, company name, email address, telephone number, billing address, account details, order and invoice information, MPS licence and device information, Engineering Tools access and expiry information, support correspondence, website usage information, IP address, browser/device data and other information you choose to provide.

4. Payment information

Online payments are processed through third-party payment providers, currently including Yoco. We do not intentionally store your full payment-card number or CVV on our website. Payment providers may process information in accordance with their own terms and privacy practices.

5. Why we process personal information

We process personal information to provide quotations and services, create and manage customer accounts, process orders and payments, issue tax invoices, activate and administer software licences, provide support, prevent fraud and abuse, maintain security, comply with legal and tax obligations, communicate about purchases and renewals, and improve our website and services.

6. MPS licensing data

Where you use the MPS Configurator, we may process the email address linked to the licence, licensed modules, licence term, issue and expiry dates, permitted device count, activation/device records and related technical information needed to operate and protect the licensing service.

7. Autodesk Marketplace entitlement verification

For copies of WOM MPS distributed through the Autodesk Design and Make Marketplace, WOM MPS uses the Autodesk user identifier made available by Autodesk Inventor together with the WOM MPS Autodesk App ID to query Autodesk’s Entitlement API and verify whether the signed-in Autodesk account has an active entitlement.

This information is used only to determine licence status, provide access to licensed functionality, and support trial or subscription administration. WOM MPS does not receive the user’s Autodesk password or payment-card details through this entitlement check.

The entitlement request is processed using Autodesk services, which may process the request in accordance with Autodesk’s own privacy terms. Word of Mouth Trading does not sell Autodesk entitlement data. Any personal information retained by Word of Mouth Trading in connection with licensing or support is handled in accordance with the retention, security and data-subject rights described in this Privacy Policy.

8. Cookies and session data

8A. Website analytics and your cookie choices

We use Google Analytics 4 (GA4) to understand aggregate website use, including page views, traffic sources, device and browser information, and whether visitors successfully submit enquiry forms. With your permission, Google Analytics may use analytics cookies or similar identifiers and process usage information through Google’s services, which may involve processing outside South Africa. Our GA4 setup does not intentionally send the contents of enquiry messages, names or email addresses as event parameters.

Optional analytics are disabled until you select Accept analytics in our cookie notice. Choosing Reject optional cookies leaves Google Analytics disabled in your browser, while necessary cookies for login, accounts, shopping carts, security and checkout can still operate. You can change or withdraw your analytics preference at any time using the Cookie settings control on the website. Your choice is saved in your browser to remember the preference; clearing your browser storage may cause us to ask again.

We use the resulting information to monitor website performance and understand which engineering services and products attract enquiries. For Google’s information on its services, see Google’s Privacy Policy. If you have privacy questions or wish to exercise rights under applicable law, contact info@wordofmouthtrading.com.

Our website and WooCommerce may use cookies and similar technologies for login sessions, shopping-cart functionality, account preferences, security and basic site operation. Third-party services may also set cookies where applicable.

9. Sharing of information

We may share information with service providers only where reasonably necessary to operate the business and provide the requested service. These may include payment processors, hosting and infrastructure providers, email-delivery services, accounting or professional advisers, security services and software vendors. We may also disclose information where required by law.

10. International processing

Some technology or service providers may process information outside South Africa. Where this occurs, we take reasonable steps to use providers and safeguards appropriate to the nature of the information and applicable law.

11. Retention

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including account administration, licence management, support, record-keeping, tax, accounting, legal and security requirements.

12. Security

We use reasonable technical and organisational measures to protect information against unauthorised access, loss, misuse or alteration. No internet-based system can be guaranteed to be completely secure.

13. Your rights

Subject to applicable law, you may request access to personal information we hold about you, ask us to correct inaccurate information, object to certain processing, or request deletion or restriction where legally permitted. We may retain information where required for tax, legal, contractual, fraud-prevention or security purposes.

14. Marketing communications

Where we send marketing communications, you may opt out using the unsubscribe mechanism provided or by contacting us. Transactional messages about orders, licences, renewals, security or support may still be sent where necessary to provide the service.
